Role Overview
We are recruiting a Company Secretarial Assistant to join our fast growing and ambitious Hong Kong team. We work closely with our colleagues in Manchester, England and have others based in London, Sunderland, Ireland, Channel Islands, and the USA. Clients include large multinationals corporations with an APAC footprint, law firms, banks, etc.

Role Duties:

- Working in a corporate secretarial team delivering in Hong Kong and supporting APAC coordination of corporate secretarial matters

-Preparing and coordinating regular reporting for the business

-Delivering business requests such as internal audit and KYC requests

-Maintaining client information and records using mainstream databases such as Diligent Entity

-Assisting with preparing Board and Shareholder resolution

-Assisting with annual compliance requirements, such as preparation of annual returns and AGM's

-Assisting with the corporate change process and filing forms with the Companies Registry

-Diary management

-Preparing powers of attorney and managing the authorised signatory list

-Ad Hoc requests and administrative matters (authorised signatory requests, Board extracts, secretary certificates, auditor requests etc.)

-Building relationships including teams across Law Debenture and clients

Key Requirements: 

-Experience in a similar Company Secretarial or Executive Assistant role

-A proven record of high performance and achievements

-Strong organisational skills

-High level of attention to detail

-Good communication skills, both written and verbal, and confident in communicating effectively with stakeholders at all levels

-Excellent computer skills, in particular MS Office, Excel and Outlook 

-A team player, who can work effectively and collaboratively with colleagues and stakeholders, providing support where necessary

-Ability to work on your own initiative and to take ownership of tasks, time and workload by prioritising and managing expectations

-Commercial and practical outlook

-Ability to build relationships and rapport, demonstrating credibility

-Solution focused

-High standard of professional and personal conduct and ethical behaviour
